Job Description

Woodland Group are recruiting an Operations Supervisor to join our team in Seaham. Reporting to the Branch Manager and working closely with the management and operations team. The Operations Supervisor will manage and develop the daily operations, ensuring that all areas operate effectively and efficiently. The role will be to assist the Branch Manager in meeting the sales and profit targets through effective cost management, vendor selection and margin management.

About the role:

  • Oversee the operation through planning direction and control of all operational activities on a day to day basis;
  • Manage and develop team members to enable operational objectives to be met;
  • Monitor activity to ensure that business is retained through effective communication and customer service;
  • Maintain awareness of the Company products;
  • Prepare performance progress reports for senior management on a monthly basis;
  • Ensure effective month end procedures are in place, making sure all trade routes are performing to the standard margin and gross profit accuracy reporting on any shipments falling outside of budget;
  • Regularly review credit limits to ensure they are not exceeded;
  • Regularly monitor and review our VAT and/or Duty exposure, making sure we are not allowing cargo to be released without cleared funds;
  • Review and update requirements and customer rate profiles as required;
  • Handle employee absences in line with Company policy;
  • Manage the teams holiday requirements, ensure daily operations are covered at all times and that customer service is not affected;
  • Ensure that specific customer requirements are met by working with the commercial team to produce any bespoke Standard Operating Procedures and Service Level Agreements;
  • Continuously develop strong working relationships with key customers and suppliers;
  • Develop constructive working relationships with overseas agents and offices and internal offices and departments resolving any concerns by ensuring corrective action is taken;
  • Communicate health and safety and all insurance/legal compliance issues;
  • Provide constructive input to the weekly team meetings, working as a team to provide best practice outcomes for the business as a whole; and
  • Any other duties as required by management for the smooth and efficient operation of the department.
  • Work with the operations team to continually improve processes and business performance;
  • Achieve agreed individual objectives; and
  • Understand and adhere to all Woodland policies and procedures relevant to the role.
  • Support changes in the role necessary to take the department and business forward; and
  • Work to achieve personal objectives set at appraisal and/or those set monthly or quarterly.

Personal Specification

  • You have previous experience as an Operations Supervisor within freight forwarding.
  • You are well organised, prioritising and working within key deadlines in a fast-paced environment;
  • You have the ability to work thoroughly, methodically with an excellent attention to detail;
  • You can work collaboratively with other members of the team as well as key stakeholders across the group;
  • You have the natural ability and enjoy building and maintaining strong working relationships;
  • You excel with a team environment as well as being able to work autonomously when required;
  • You are flexible, adaptable, and open minded and respond well to the ever-changing priorities and challenges while remaining calm and focussed on getting the job done;
  • You are proactive looking at ways to improve processes and have the initiative to put them forward and where possible into practice;
  • You actively seek ways to enhance your knowledge and improve your performance; and
  • You are self-motivated, have huge drive and ambition – you thrive off achieving great success and helping to build a great place to work!
