THE ROLE

As the Guest Services Coordinator you are the face of British Land. You will provide a world class welcome ensuring all Stakeholders across the business are greeted with a smile and professionalism. This role is an integral part of the smooth running of our 3rd floor and the ability to communicate effectively, work collaboratively and flexibly is crucial as no two days will be the same.

WHAT YOU'LL DO
  • Assist and support the Admin and Exec Assistant teams where necessary
  • Manage all incoming calls; screening and transferring calls accordingly
  • Demonstrating excellent customer service skills to all levels of staff and external visitors
  • Key contact for all matters relating to the 3rd floor
  • Carry out daily hosting duties to all stakeholders.
  • Overseeing the meeting room diary via Resource Finder
  • Responding to email enquiries and manage the Info mailbox - forwarding on emails to the relevant department
  • Maintaining the cleanliness of the reception area including the Wellbeing room
  • Morning walk-around checks of all 3trd floor meeting rooms .
  • Keeping our internal and external phone directory up to date
  • Setting up and assisting with the Audio Visual systems
  • Liaising with the Catering, Tech Service Desk and Postroom teams to ensure meeting rooms are set up for events in a timely manner.
  • Reporting all faults/and or missing equipment to Service Desk
  • Assisting the Facilities Manager with ad hoc duties; logging helpdesk issues, organising the cleaners etc

ABOUT YOU
  • Excellent people skills with a can-do attitude.
  • Great telephone manner as well as both written and verbal communication skills
  • Very well organised with good attention to detail and the ability to prioritise your time
  • Familiarity with common applications such as Microsoft office, web browsers and Excel - Equipment training will be provided.
  • Punctual and reliable
  • Excellent self-presentation
