Summary:

The Administrative Assistant / Receptionist provides a variety of administrative, secretarial, and clerical support to administrative staff with a focus on maintaining and implementing an efficient office environment.

Reports to: Lead Administrative Assistant and/or Office Manager

Classification: Full-time, Non-exempt

Location: 100% On-site at Napa, CA offices

Requirements

You Will:

  • Available to work 8:30 AM to 5:00 PM Monday through Friday and the ability work overtime and weekends as necessary;
  • Answer phones and transfer to the appropriate staff member;
  • Take and distribute accurate messages;
  • Greet public and clients and direct them to the correct staff member;
  • Coordinate messenger and courier service;
  • Provide administrative support as requested;
  • Prepare outgoing mail for distribution;
  • Fax, scan, and copy documents;
  • Maintain office filing and storage systems;
  • Retrieve information when requested;
  • Monitor and maintain office, cleaning and kitchen supplies;
  • Prepare and submit Purchase Orders for approval as needed;
  • Ensure office equipment is properly maintained and serviced;
  • Perform work related errands daily such as going to the post office and bank;
  • Sort incoming mail and deliver to the correct department or staff member;
  • Coordinate sample deliveries;
  • Keep office area clean and tidy;
  • Setup and breakdown tastings
  • Performs other duties as assigned.
You Have:
  • High School Diploma or equivalent; prior reception or office assistant experience very highly preferred
  • Valid California driver's license required (insurability on company insurance);
  • Competent computer skills including MS Office (Outlook, Excel, Word);
  • Internet skills including use of e-mails, group messaging and data collection;
  • Versatility, flexibility, and a willingness to work within constantly changing priorities with enthusiasm
  • High attention to detail and accuracy
  • Organizational and problem-solving skills
  • Exceptional communication skills (verbal and written) with a high level of professionalism
  • Keeps an eye on safety and maintains a safe, clean, and highly organized working environment
  • Serve as back up or support to sales, HR, compliance, purchasing, QA and other key areas within the winery
  • Bilingual in Spanish a huge plus.
Physical Demands and Working Conditions:
  • Ability to lift up to 50 pounds; carry up to 50 pounds over short distances.
  • Must be able to sit, stand, lift, push, pull, stretch, reach, grasp, crawl, climb, reach, turn, and kneel, for long periods (8 hours of more per day)
  • Must be able to read and interpret documents.
