Job Description

We are recruiting for an experienced Executive Assistant to join a premium skincare/beauty brand on a 3 - 6 month temporary contract, supporting the General Manager. The working hours will either be 2 full days or 3 mornings a week (at least 1 day/morning in the office and the rest WFH).


Key Responsibilities

  • Managing GM's inbox; reading, prioritising, replying on behalf, drafting or editing correspondence. This will involve the handling of private and sensitive information.
  • Proactive diary management, prioritising necessary meetings, gatekeeper of diaries, reorganising schedules to ensure best use of time, booking travel and accommodation and being the first point of contact..
  • Ensuring that the GM meets any actions or tasks that they are committed to - i.e. commentary for board meetings, actions from previous Boards, preparing and delivering presentations
  • Supporting on the creating of any documentation, presentations, slide decks, schedules/itineraries when required
  • Assist with management information analytics for weekly and monthly reporting to the Board.
  • Light personal tasks to include overseeing expenses or personal bookings for GM
  • Adhoc admin support for Senior Management Team where required; DocuSign templates, technical assistance, meeting room/office assistance, overseeing expenses.
  • Taking minutes and actions in SMT meetings, following up to ensure completion, circulating agenda beforehand.
  • Escalation point for widescale issues or complaints
  • Maintain accurate and up-to-date records of all expenses related to GM
  • Liaison with the bank, legal professionals re private and sensitive C Suite information


Requirements and Skills

  • Ideally 5+ years’ experience as a Senior EA supporting a GM
  • Attitude: you will be positive, solutions-driven, a natural negotiator, and be able to proactively handle situations
  • Communication skills; articulate, with the ability to build relationships with key stakeholders and suppliers
  • Previous experience working with sensitive and confidential information.
  • Ability to multi-task and work well under pressure and across international time zones.
  • A strong decision maker.
