Job Description

Another great opportunity for someone who can fully support the Wholesale team with order processing, stock control, customer service and general administration. The role is office based in Nottingham.


The main duties and responsibilities will include:


Customer Service focus:

  • All customer requests to be delt with within 24 hours: product images, stock requests and any delivery issues, assets, and marketing materials.
  • Return of sales samples checked in against delivery note. Raising the manual invoices or getting them raised as and when required.

Wholesale Sales support:

  • Order entry including order export and import from LNB into Zedonk.
  • Collecting, updating and uploading new wholesalers information and ensuring that the wholesale database is up to date.
  • Seasonally updating the wholesale list of universalworks.co.uk
  • Collecting and updating PO numbers ahead of the shipping season.
  • Monitor global pricing on market places and reporting accordingly.
  • Supporting the team with seasonally sending out sample stock to agents as required.
  • Assist in sending out Order Confirmations, where necessary, at the end of each selling season.
  • Support sales team with stock management, raising orders/ credit notes when transferring stock between wholesale UW, MO (Modern Orange) and web-stock.
  • Proactive creation of stock sales reports to drive in season sales and maximise profitable sales.
  • Support Wholesale sales with new account requests.
  • Potentially attending trade/ fashion shows to support with the selling process.

Finance support:

  • Biweekly meetings/ calls to ensure we are up to date with all debt collections.
  • Update Wholesale Sales Manager on a weekly basis on the general state of play and any outstanding issues within your remit.
  • When required, assist the accounts team in chasing outstanding debts for all wholesale customers regardless of their location i.e. UK, Europe and RoW.


General:

  • To assist in providing an excellent first point of contact service for all our wholesale telephone calls; effectively dealing with all call enquiries and directing or transferring callers to the relevant team members.
  • Administrative duties such as booking travel (flights, hotels etc).


Special Requirements

  • An essential requirement is proficiency in Microsoft Excel and other Microsoft Office software.
  • Proven administrative skills preferably gained in a similar role within wholesale or retail environment.
  • Excellent communication (written and oral) and customer service skills.
  • Good organisational skills.
  • The ability to build good working relationships with customers and other members of the team.
  • Ability to use initiative and willingness to take on additional tasks when required.
  • The ability to work in a pro-active manner, as well as the ability to act as an effective team player.
  • Highly motivated and detail-oriented.
  • A passion for the UW brand and a knowledge of it’s aesthetic would be appreciated.


The package:

  • Competitive.
  • Hours: Mon – Thurs 9:00 – 5:30, Fri 9:00 to 3:00
  • Half hour paid lunch each day
  • Holidays: 28 days per annum increasing with service
