PEOPLE & PAYROLL ASSISTANT OCTOBER 2024


An exciting opportunity has arisen for a People & Payroll Assistant in the friendly Head Office at Anya Hindmarch in Battersea. The role is ideal for a super organized, numerate administrator looking to develop a career in HR. Respect and care for our people is at the core of the Company and is central to all that we do.


Reporting to the People Director, you will be the first point of contact for our Head Office, village, retail and café teams dealing with all manner of day-to-day queries. You will be a champion for the company culture, looking after employee welfare in the office and supporting managers and employees across the board.


HR Administration & Operations


  • Responsible for all HR administration, including drafting employment contracts, salary and contract change letters, probation review letters and reference requests
  • Acting as first point of contact for all employee queries, responding promptly and accurately and escalating issues to the People Director as appropriate
  • Leading the administration for new starters, collating new starter forms, conducting Right to Work checks and updating trackers
  • Welcoming new starters and ensuring a thorough induction plan is in place
  • Being accessible to, and regularly visiting the retail and café teams in the village to grow effective working relationships
  • Pro-active about ensuring Head Office is functioning smoothly, ensuring kitchen stables are continually in stock and dealing with contractors to fix ad hoc maintenance issues as they arise
  • Overseeing administration of holiday bookings and sickness absence into our HR system
  • Keeping personnel files up to date, scanning and filing documents electronically
  • Supporting our compliance with Health & Safety across the board


Payroll and benefits


  • Collating data and entering the monthly payroll information for submission to the outsourced payroll company. Working closely with the Finance Director to review reports
  • Work collaboratively with the finance team on the annual P11d process
  • Administration of employee benefits including pensions, health and dental insurance, season ticket, parking permit loans, life insurance, cycle-to-work scheme - working closely with relevant benefit providers on all
  • Administration of the employee allowance and discount scheme for Anya Hindmarch products via the employee website


Recruitment


  • Driving recruitment for head office, stores and the cafe, with a focus on attracting the highest quality candidates, including drafting job descriptions and adverts
  • Responsible for managing the Company’s recruitment platforms and careers page, utilising other online sources to maximise talent recruitment and minimise recruitment costs
  • Partnering with external recruiters when necessary
  • Overseeing the Recruitment inbox, sending replies on a timely basis


Culture and engagement


  • Working closely with the People Director on employee events, gifting and ‘Anyaversaries’ and other engagement initiatives
  • Working with the Executive Assistant to organise company events


Employee Relations


  • Supporting the People Director with maternity and paternity policies, disciplinary and grievance procedures, sickness and absence management processes


Skills and Experience


  • Minimum 2 years’ experience working in an office environment
  • Excellent attention to detail, organised, proactive and able to work independently
  • Bright and friendly with natural empathy coupled with the discretion required to deal with confidential information and sensitive situations
  • Numerate and tech savvy with a meticulous eye for detail to ensure accuracy for payroll
  • Previous payroll and HR knowledge would be an advantage but not essential.
  • Opportunity for CIPD Level 3 qualification sponsorship
  • Proven ability to work autonomously, asking for help and escalating issues appropriately
