The role will be based in Manchester city centre. Our office is in a fantastic new building close to all public transport links and includes an garden rooftop and on-site gym amongst its range of amenities.

Role Purpose


As the Office Manager at BIMBox, you will play a key and varied role in supporting the business across three main areas: Office Management, HR, and PA duties.

You will be the first point of contact, providing daily support to the Directors and wider team, while ensuring the office remains clean, comfortable, and well-utilised.

When required, you will be responsible for organising both internal and external events.

Key Responsibilities

Office Management


• Being the first point of contact for all visitors & clients

• Greeting, welcoming & offering refreshments to visitors

• Maintaining security by following office and building procedures

• General administrative/clerical tasks including:

filing, archiving, photocopying, shredding, drafting, formatting, and printing relevant documents

• Post and parcel management

• Organising and arranging company events, and assisting in conference arrangements

• Arranging meetings, booking rooms and planning refreshments

• Creating meeting agendas as appropriate

• Organising company travel arrangements

• Managing and procuring stationery and office equipment

• Facilities management/ maintenance

• Organise social events to promote team building


PA


• Complex diary management

• Scheduling meetings and appointments, often controlling access to the directors

• Communicating with Board Members, scheduling the Meetings and meeting agendas

• Running professional and personal errands

• Organising complex travel arrangements & itineraries for both business & private trips

• Organising events, conferences & entertainment for guests including catering

• Reminding the directors of important tasks, deadlines and events both at work and at home.


HR


• Support all internal HR-related inquiries or requests

• Creating and updating records ensuring the accuracy and validity of information

• Oversee the completion of company benefit documentation

• Ensuring staff details are up to date and compliant with company expectations

• Preparing and conducting New Starter Inductions

• Maintaining digital & electronic records of employees

• Assisting with the recruitment process

• Overseeing visa requirements of international staff

Personal Specification

• Prior management experience

• Proficiency with Microsoft Office suite
