Reports to: Practice Owner
Salary: £40k
Job Summary:
We are a dedicated independent small animal practice, proudly family-owned for 50 years and the only one in North Ayrshire. With a loyal client base and a commitment to top-quality care, we are seeking a highly organised and proactive Practice Manager. This role involves overseeing the day-to-day operations of our clinic, managing team performance, coordinating HR tasks, and ensuring smooth administrative and operational functions.
You will work closely with Shona, the Practice Owner, and a supportive team of experienced colleagues in an environment that encourages collaboration and open discussion.
Key Responsibilities:
Leadership & Management:
- Lead and inspire the team, driving exceptional patience care, practice performance and growth.
- Oversee daily operations, accountable for the smooth running of the practice and office administration.
- Direct Line Management of Practice Team (currently including vets, nurses and receptionists) including recruitment, induction, training, performance reviews, and disciplinary processes where required.
- Foster a supportive team culture, organise events, and maintain team morale.
Financial:
- Preparing and interpreting financial data including profit and loss accounts to make commercial decisions
- Preparing and management of budgets
- Responsible for all relevant financial and professional administration in line with regulatory requirements.
- Daily and monthly reconciliation of client and supplier accounts, and related administrative tasks including overseeing insurance claims.
- Own the completion of Company’s payroll routines, statutory payments, pensions and expenses, ensuring all aspects meet relevant regulatory compliance and legal standards,
- Accountable for debt management within the practice.
Operations:
- Take full responsibility for the day-to-day operations in the practice by developing and maintaining processes, policies and procedures.
- Manage practice rotas (including adequate holiday cover), locum resourcing, upkeep and maintenance of facilities, stock and equipment.
- Manage all data in compliance with GDPR and confidentiality requirements.
- Provide additional support and/or cover for other administrative and operational tasks as required by the Business owner.
Health & Safety:
- Ensure compliance with health and safety regulations and maintain practice risk assessments.
Client & Community Engagement:
- Ensure the practice delivers exceptional client care by monitoring feedback and implementing improvements and training.
- Responsible for management of client complaints and concerns.
- Promote the practice through social media, local community events and other avenues.
Skills & Qualifications:
- Experience in a similar management role, preferably in a veterinary or healthcare setting.
- Experience of managing and leading a team
- Excellent organisational, communication, and leadership skills.
- Experience in driving strong commercial performance through effective financial management and efficient ways of working.
- Experience of resource planning.
- Proficiency in Microsoft Office and other administrative software.
- Good understanding of health and safety regulations and HR best practices.
Hours of Work:
- 37.5 hours per week, Monday to Friday between 08.30 and 17.00.
- Some flexibility will be required depending on practice needs.
