Job Description

We are looking for a Web Operations Assistant to join our London Head office and play a key role in supporting the E-Commerce Operations team with daily administrative tasks. This role involves managing routine operational activities, such as reconciling product returns and ensuring that orders reach our 3PL properly.

Our ideal candidate is a fast learner with strong attention to detail, capable of handling multiple tasks efficiently in a dynamic environment. This position is crucial in maintaining the smooth operation of our online platforms and ensuring that our customers have a seamless experience.


Responsibilities

  • Returns Reconciliation: Accurately reconcile returns across our three websites by collaborating closely with Third-Party Logistics (3PL) providers and internal account teams, ensuring that returned products are processed and restocked promptly.
  • Order Fulfilment Coordination: Work with 3PL partners to monitor and ensure that all customer orders are dispatched in a timely and efficient manner, addressing any delays or issues proactively.
  • Courier Claims Management: Log and track courier claims, following up with account managers to ensure resolutions are achieved promptly, and all relevant documentation is maintained.
  • Operational Support: Assist the Web Operations Executive in managing and optimizing daily operational tasks, contributing to the seamless functioning of the web operations department.
  • Process Optimization: Identify areas for improvement in existing processes, suggest enhancements, and work with the team to implement changes that increase efficiency and accuracy.
  • Daily Task Assistance: Provide day-to-day administrative support to the web team, helping manage workload and ensuring all tasks are completed to a high standard.
  • Customer Service Support: Collaborate with the customer service team to address and resolve customer queries, ensuring a positive and efficient customer experience.
  • User Experience Projects: Support the Web Operations team in executing various user experience (UX) and website optimisation projects, contributing ideas and assisting with implementation to enhance overall site performance.


Experience and Skills

  • Logical Thinking: Demonstrates a strong sense of logic, with the ability to think critically and solve problems efficiently.
  • Adaptability: Quickly adapts to new software updates and variations in processes, maintaining productivity and ensuring continuity of operations.
  • Attention to Detail: Possesses a keen eye for detail, ensuring accuracy in all tasks, from data entry to process execution, to maintain the highest standards in web operations.


Ideal Experience

  • Excel Proficiency: Basic to intermediate knowledge of Excel is necessary for data management, reporting, and reconciliation tasks.
  • Some knowledge of systems like Shopify Plus and Oracle Netsuite are ideal but not strictly necessary.
  • This role is based in our London Head Office.
