Senior Purchasing Assistant

As a Senior Purchasing Assistant reporting to our Senior Purchasing Manager, you will play a crucial role in ensuring our products are ordered on time and meet customer expectations. You will not only manage purchase orders and stock levels, but also cultivate strong relationships with suppliers that drive our success.


In this dynamic position, you will monitor sales forecasts, coordinate deliveries, and tackle challenges head-on, all while working closely with internal teams to maintain a seamless supply chain. Work hours are 8:30am to 5:00pm from Monday to Thursday with an early finish on Fridays (8:30am to 4:30pm)


We offer a competitive salary of up to £32.5k depending on your experience and look forward to discussing this with you during the interview process.


What You’ll Be Doing

Reporting to the Senior Purchasing Manager, you will help ensure products are ordered within lead times to meet customer demands along with developing and maintaining effective relationships with suppliers.

Duties include (but are not limited to):

Purchase Orders:

Creating and sending purchase orders for re-buys and new range products.

Order Tracking:

Receiving and expediating order acknowledgements with suppliers to update the delivery dates on the system.

Stock Management:

Monitoring stock levels, sales, forecasts and providing suggestions for any adjustments required.

Re-buy Suggestions:

Checking and suggesting stock re-buys for approval, considering lead times and volumes needed ensuring a continuous supply.

Reporting:

Running weekly reports for analysis with our Senior Purchasing Manager.

Critical Path Management:

Ensuring goods are ordered, chased through and shipped on time to the warehouse for delivery.

Delivery Co-ordination:

Ensuring delivery notes are consistent with purchase orders by liaising with warehouse goods in management, and to help ensure any purchase order discrepancy is resolved daily with the warehouse and reflected correctly on the system.

Schedule Management:

Creating weekly delivery schedules to ensure stock is arriving when required and booked in effectively.

Freight Forwarding:

Working closely with freight forwarders, to be able to negotiate container rates, track approved shipments and notifying if any date changes along the way, ensuring they have all the necessary documentation required.

Budget Management:

Working within the OTB budgets set by management.

Internal Collaboration:

Working collaboratively with internal departments such as customer service, providing them with any necessary information such as accurate ETA dates.

Supplier Relations:

Building strong, effective working relationships with current and potential suppliers.

Issues Resolution:

Helping resolve any internal and external purchasing issues quickly and efficiently.

Ad Hoc Support:

Any other ad hoc duties that support the purchasing department in delivering key business objectives and maintain the efficiency of the purchasing function.


Experience & Skills We’re Looking For

Required skills include:

Minimum of 3 years’ experience ideally within an ecommerce/B2C including purchasing processes and stock management.

Responsibility of managing a spend of circa £15 million.

Familiarity with purchase order workflows.

Experience working with suppliers to confirm and adjust schedules.

Experience using Business Dynamics ERP system and any forecasting demand tools is an advantage.

Strong Excel skills including Pivot Tables, VLookups and creating formulas to manage data is essential.

Proven analytical skills to interpret sales forecasts, stock data, lead times, stock volumes etc.

Strong interpersonal skills to work across departments (e.g., customer service, logistics etc).

Excellent communication (both written and verbal) and organisational skills.

High level of accuracy with keen eye for detail to ensure correct quantities, descriptions, prices etc.

Pro-active with a ‘can-do’ attitude.

Ability to prioritise in a fast-paced environment and adapt to changing business needs.

Confident in dealing with deadlines and working under pressure.

Proven ability to establish and develop relationships with internal and external sources.
