Maintenance Administrator

About The Opportunity

Programmed’s Facility Management department are currently seeking a Maintenance Administrator to join our Facility Management team based in our head office in Burswood. This is an excellent opportunity to be a part of a high performing team that is responsible for the processing of maintenance work, reporting and analysis of asset data captured in Programmed Facility Management's Maximo asset management system.

Key Responsibilities

• Administration of routine maintenance work orders and defects via maintenance management system


• Issuing proposals for work to clients via quotation process


• Creation and issue of purchase orders to Sub-contractors


• Validation of service reports versus invoicing claim to ensure accurate payments


• Ensures appropriate financial controls are in place with relevant FM contracts


• Receiving and responding to queries from Customers, both internally and externally


• Collaborate with internal and external stakeholders to deliver excellent customer service

About You

To be successful in this role, ideally you will have previous admin experience within Facilities Maintenance with excellent communication and Microsoft office skills. Additionally, you will demonstrate and possess the following:

• Data analysis and reporting skills.


• Experience with either Maximo, SAP or Pronto is desirable but not essential


• Exceptional communication skills, both verbal and written


• Strong focus on safety in the workplace


• Time management skills with the ability to work under pressure


• Proactive and self-motivated and able to work without supervision
