About the role

Paydock seeks an Executive Assistant / Marketing Assistant to join our global team.

As a valued member of the team, you'll report directly to the Chief People & Performance Officer This hybrid role provides high-level administrative and executive support to the company's senior leadership team, while also assisting with a variety of marketing-related tasks. As the Executive and Marketing Assistant, you will be responsible for managing complex calendars, arranging travel, coordinating meetings, and handling a range of administrative duties to ensure the executives' time is used efficiently. Additionally, you will support the marketing team with research, content creation, campaign monitoring, event planning, graphic design, and more.

How you will make an impact:

Executive assistant responsibilities and duties:

  • Manage executives' calendars, including scheduling meetings, appointments, and travel arrangements
  • Coordinate with internal teams and external partners to arrange meetings, conference calls, and events
  • Prepare agendas, take meeting notes, and distribute follow-up materials
  • Handle expense reports, check reimbursement requests for accuracy, and submit for approval
  • Provide general administrative support, including filing, data entry, and responding to inquiries
  • Anticipate executives' needs and proactively identify ways to improve efficiency and productivity
  • Maintain strict confidentiality with sensitive and proprietary information
  • Assist with special projects and other duties as assigned


Marketing Assistant responsibilities and duties:

  • Conduct market research to understand the target audience and the organisation's marketing needs
  • Write copy for marketing materials such as blogs, social media posts, and press releases
  • Manage the content calendar and monitor the progress of marketing campaigns
  • Gather and report on marketing data, including buying trends, campaign success, and KPIs
  • Assist with the setup, facilitation, and completion of marketing events
  • Oversee the design and graphics of marketing materials
  • Manage social media accounts and update content, including analytics
  • Maintain the company website and work with SEO providers
  • Manage and monitor marketing inboxes, responding to inquiries as needed
  • Collaborate with the commercial team on CRM (Hubspot), marketing requirements, and events
  • Create and support presentations, with expertise in tools like Google Sheets


How you will add value:

You should have the following skills, education and experience:

  • Bachelor's degree or equivalent work experience
  • 5+ years of experience as an executive assistant or in a similar high-level administrative role
  • 2+ years of experience in a marketing assistant or coordinator role
  • Excellent organisational, communication, and interpersonal skills
  • Knowledge of analytics software (Google Analytics & LinkedIn)
  • Proficiency with Microsoft Office suite (Outlook, Word, Excel, PowerPoint) and Google Suite
  • Knowledge and understanding of search engine optimisation (SEO)
  • Ability to multitask, prioritize, and work independently in a fast-paced environment
  • Discretion and sound judgment when handling confidential information
  • Strong attention to detail and problem-solving skills
  • Flexibility and willingness to learn new skills
