Job Description

Bemidji State University (BSU) invites qualified applicants to join our team as an Admissions Office Manager & Campus Visit Coordinator (CSSI). The Admissions Office Manager & Campus Visit Coordinator is primarily responsible for managing the reservations and logistics for visiting students/families, individual and group tours, faculty appointments, and support for all Office of Admissions visit events (Campus Previews, Academic Open Houses, New Student Registration, and more). Extensive scheduling and coordination of University Ambassadors is required to effectively serve our campus visitors. This position also participates in the planning and implementation of activities/tasks/communications that result in moving students through the BSU Enrollment Funnels and leveraging our Customer Relationship Management (CRM). The Enrollment Funnel includes the following critical processes: Prospect Generation, Inquiry Management, Application Development, Admission to Enrollment. The primary objective is to provide hosting services, as well as technical and system support to allow staff to meet or exceed enrollment goals established by the administration.

Responsibilities of the Admissions Office Manager & Campus Visit Coordinator include:
  • Campus Visit Coordination.
    • Supporting the Assistant Director in coordination of prospective students/family campus visit programs. Responsibilities include inbound and outbound communications, tracking, schedules, faculty appointments, room reservations, supplies & swag, campus food service requests, University Ambassador scheduling, training, and daily oversight, staffing the front Admissions desk, and visiting program follow-up/review. Programs include daily campus tours, Campus Previews, Academic Open Houses, New Student Registration, group tours, special request tours, and all other prospective visit events needed by the Office of Admissions. This position will be available to meet with prospective students and families if admissions representatives are unavailable. While maintaining data privacy standards (FERPA), manage high-level office correspondence with campus departments, staff, and external customers/individuals. This includes in-person, email, phone, and mail communications. Answering questions, assisting with sending timely information, and resolving customer issues. This will also include the use of Slate CRM. Percentage of Time: 60%
  • Admissions Systems Data Management.
    • Maintaining accurate and timely data in Minnesota State Colleges and Universities (Mn State) Integrated Statewide Resources System (ISRS) system, Slate (CRM), Image Now, and Microsoft Office - focusing on accuracy. Providing necessary support to University Ambassadors to utilize these systems. Assisting in the receipt, scanning, and uploading all transcripts for the office. Percentage of time: 20%
  • Providing administrative support/other duties as assigned.
    • Includes purchase orders/P Card, bulk mailings, inventory control, printing material ordering, swag and Marketplace/Workday assistance for the division of Enrollment Management at BSU. Percentage of time: 20%
Minimum Qualifications
  • Data entry skills sufficient to maintain accurate budget records and reports.
  • Customer service skills sufficient to effectively communicate on the phone, in person, and online, to provide effective general and specialized office support (this requires common courtesy, tact, interest in positive problem solving, empathy, and the ability to organize ideas logically).
  • Skill in using word processing sufficient to use software such as Microsoft Word, to prepare, edit and finalize emails, memos, reports, and/or other documents and types of written communication that are grammatically correct, in proper format, and free of spelling errors.
  • Skill in using spreadsheet applications, such as Microsoft Excel, to enter, compile, store and retrieve data.
Preferred Qualification
  • Bachelor's Degree (Management Information Systems, Accounting, Computer Science, or Business Administration preferred).
  • Experience using student data management systems such as Integrated Student Records System (ISRS), CRMs, and ImageNow.
  • Knowledge of the Family Educational Rights and Privacy Act (FERPA) and the legal responsibilities of protecting the confidentiality of student educational records in your possession.
  • A demonstrated commitment to the principles of diversity, equity, inclusion, and anti-racism.

The City of Bemidji

Bemidji State University and Northwest Technical College lie amid the lakes and forests of northern Minnesota. Bemidji State occupies a wooded campus along the western shore of Lake Bemidji while Northwest Technical College lies just three miles east, near Bemidji's robust industrial district.

The city sits between Minnesota's three largest American Indian tribal nations: the Leech Lake Band of Ojibwe, the Red Lake Nation and the White Earth Nation. When settling the Bemidji area in 1750, the Ojibwe people named the lake Bemidjigamaag, which means "a lake with crossing waters" as the Mississippi River flows in from the south and exits on the east. Today, a city proper with a population of around 15,000 serves as a regional economic and cultural hub for about 100,000 Minnesotans.

Located just minutes away from a thriving downtown Bemidji, both the BSU and NTC campus communities have convenient access to affordable restaurants, fine-dining experiences, cozy coffee shops, grocery stores - including a natural foods co-op - city parks, and nearly unlimited outdoor recreational opportunities. Small, locally-owned shops and art sculptures line Bemidji's downtown streets, while national chains are also found in and around the area. Additionally, the North Woods setting means students, staff, and faculty have a variety of activities available at their fingertips year-round. With more than 400 lakes - and a 240-acre research forest owned by BSU - within 25 miles of the city, there is easy access to kayaking, canoeing, swimming, boating, paddle boarding, hunting, hiking, biking, foraging, fishing, and more. An expansive network of multi-use trail systems is available for running, cross-country skiing, single-track or fat-tire biking, and skijoring. Further, downhill skiing, snowboarding, and tubing lie just north of Bemidji at the Buena Vista Ski Area.

Bemidji is also near two of Minnesota's 66 state parks: Lake Bemidji State Park, which sits along Lake Bemidji's northern shore, and Itasca State Park, home to the majestic Mississippi River Headwaters. Both parks are popular recreational and camping destinations where locals and tourists gather for sailing, swimming, and fishing during the summer months, and skating, hockey, curling, and-yes-more fishing in the winter.

Of course, no tour of Bemidji is complete without a visit to - and a selfie with - its two most famous residents: the iconic statues of Paul Bunyan and his trusty companion, Babe the Blue Ox. The famed duo, which has greeted visitors to Bemidji since 1937, is on the National Register of Historic Places and was once ranked by Kodak as the second most-photographed statue in America.
