Office Associate at the School of Dentistry provides administrative support to the Dental School staff and leadership, with an emphasis on faculty recruitment, onboarding, and other human resource related tasks. Duties and Responsibilities 1. Monitor and complete various administrative tasks associated with the faculty/exempt staff recruitment process: a. Identify new applications as they are received, and prepare application, CV, and cover letter for distribution to search committee members. b. Correspond via email with applicants at various stages of the recruitment process. c. Schedule search committee meetings as needed. d. Schedule virtual screening interviews with candidates selected by the search committee. e. Draft interview schedule and evaluation form for candidates selected for the second interview. f. Arrange lodging for candidates visiting MUSoD. Order welcome package for delivery at hotel. g. Distribute completed evaluation forms to members of the search committee. h. After the recruitment process concludes, send notification emails to applicants not selected, and update job requisition. i. Draft orientation schedule for new hires. Schedule in-person meetings for the orientation and reserve rooms as needed. Ensure offices for new hires are ready and equipped with appropriate technology. 2. Enter all vacation requests for faculty and exempt staff into MyJob Timekeeper. 3. Manage student employment hires, reactivations, and terminations. 4. Assist with non-exempt staff hires and orientations, as needed. 5. Monitor Qualtrics form for sick day reporting for faculty and exempt staff. 6. Assist with onboarding duties for faculty and staff new hires on their first day (assist with getting IDs and parking pass, tours of MUSoD, taking new hires to HR for I9 process, etc.) 7. Reconcile credit card expenses for department Pcard against general ledger and assist with student reimbursements. 8. Minimum of two years\' experience in an office support role. Excellent organizational and customer service skills. Excellent written and verbal communication skills. Discretion, flexibility, and courteous demeanor. Ability to maintain confidentiality. Ability to work and communicate with people from a diverse population. Ability to work independently with little supervision and frequent interruptions in a dynamic, fast-paced environment. Ability to multitask and prioritize daily workload. Computer competency with Microsoft Office Suite (Word, Excel, PowerPoint).
