Job Description

We are currently seeking a highly skilled Business Administration Support Consultant to join our busy business support team. This will be based in our brand new Cardiff office.

You will be providing an internal customer focused support service to the business, particularly for fee earning staff who require support on a day-to-day basis covering operational and office based tasks, including assisting our other support teams in Health and Safety, Compliance, Facilities, Procurement and others who may rely on your local office support. You will be part of a centralised support service, sharing workload with your UK wide support colleagues where appropriate.

Your role will be to own and support topics that require a calm and considered approach, provide a timely, quality service and ensure appropriate escalations. Your skill set will require you to be assertive and confident in order to encourage others to adapt to change and facilitate the smooth running of the office. While working at this level, you will also be required to assist your colleagues where necessary to meet goals or deadlines regardless of task type. You will evaluate and articulate more complex queries or requests with the ability to resolve the situation and create and share solutions while maintaining standards of best practice. You may be required to support at other locations if required so you will need to be prepared to travel in order to fulfil workload goals where required and necessary.

KEY ACCOUNTABILITIES

  • Accepting difficult or complex challenges that require additional aptitude and understanding to address and resolve. Your people skills will be of a high standard with the ability to appreciate others and adapt communication to fit the needs of the internal customer.
  • Adapt your approach to meet the service delivery for various internal customers, appreciate the business requirements and find a way to proceed with a logical and practical way.
  • Be an ambassador for improvements and promote a positive attitude to change. Be prepared to explain and lead and ensure staff understand the methods and protocols.
  • Proactively recognise problematic situations and find solutions which are workable locally and nationally where appliable, aligning with the centralised service. Demonstrate a sound thought process and recognise when to escalate a problem.
  • Thoroughly understand your remit, objectives, inclusions, exclusions and ensure consistent collaboration with the people and departments involved. Include the decision makers to define your target tasks and provide regular updates to your line manager.
  • Understand the operational process and procedures around office operations and ensure compliance on all aspects of office protocols, security and compliance.
  • Ensure you work with colleagues to help action the day to day tasks across operations support and balance your time to meet the operations team service levels and deliverables.
  • Take ownership of more in-depth tasks that require focused concentration and diligence to complete.
  • Take responsibility for your assigned workload as directed by your line manager. You will prioritise your work and assist colleagues while being diligent and focused on delivery. This may include the following areas which are subject to change according to business need.
Office Maintenance - support the facilities team by keeping the office in good order and ensure you can support the housekeeping, maintenance and compliance.

IT assets - Check, monitor and report any meeting room IT equipment to ensure it is fit for purpose.

Office Checks - Complete regular office reviews and checklists and escalate any issues to the relevant department.

Support Internal Depts - Where allocated, help internal back office depts such as SSHEQ, Marketing, Facilities, Procurement etc with changes or large scale activities that require specific focus eg. compliance, health and safety, office and department audit, fire and first aid safety protocols.

Documentation - Assist in the completion and upkeep of procedural documentation or online processes as required. Work with colleagues to ensure a standard approach locally and nationally.

  • Business Support Process & Procedure - Contribute to provide best practice across business support and have the necessary aptitude to evaluate and recommend the most effective and efficient solutions.
  • Be ready to engage in new work topics as required by the business and expect there to be a broad range of work to be actioned with differing levels of impact.
  • You will be required to accommodate urgent work requests and ensure you can allow additional time to complete tasks.
  • On occasion you may be asked to assist with an event or work topic that requires working out of normal hours however this would be reviewed with your line manager in advance.
  • Undertaking other duties not specifically stated above, which from time to time are necessary for effective performance of the overall support team and the business.
  • To encompass a role of both exemplar practice and an ambassador for and actively promote GDPR compliance.

  • Good working knowledge of Microsoft Office Suite, particularly Word, Excel and Outlook, 365 and PowerPoint.
  • Ability to adapt to new ways of working, including the introduction of new technologies.
