Job Description

Job Summary

The Business Coordinator provides administrative support to the company’s sales management, sales team as well as Technical Services through consistent coordination and execution of tasks and activities that intersect between sales support, customer service, and office administration.

Primary work location: Malvern, PA (hybrid work from home option up to 2 days per week)

Administrative support:

  • Support logistics of customer communications including price increases, maintain customer contact database, generate mass emails.
  • Process AIA certificates, LEEDS letters, and GEO TECH letters.
  • Handle inquiries on sales orders
  • Coordinate pump rental program
  • Support hiring managers in Sales & Technical Services with onboarding new employees, as needed
  • Other duties, as assigned

Customer Training Events:

  • Coordinate all aspects of customer training events for internal and external participants (trainers, sales, customers). Location, invitations, set-up, break-down, logistics for materials to be used, facility preparations, food & beverage, etc.

  • Ensures key issues are addressed, and that important information is provided quickly and effectively. Listens and responds quickly and accurately to questions. Writes and speaks clearly. Develops trust and credibility with key contacts. Adapts communication to audience.
  • Ability to collaborate effectively on projects. Take initiative and can multitask.
  • Ability to manage multiple priorities and to clearly communicate information received in both written and verbal forms. Demonstrates an ability to flexibly adapt to changing work demands.
  • Able to make deductive and inductive reasoning judgments when faced with decisions; selects the most appropriate solution after reviewing all available data. Identifies correct information for problem solving. Demonstrates persistence and attention to detail. Develops methods to eliminate recurring problems
  • Must be able to assure that tasks are completed on time, and in accord with department and company standards while identifying opportunities for optimization.
  • Independently takes initiative with little direction relying on professional knowledge, skills, experience, and judgement to accomplish results.
  • May travel for training and/or meeting support as needed.

Required Qualifications

Knowledge and Skills:

  • Demonstrated knowledge and proficiency in general office functions. Strong working knowledge and experience with MS Word, Excel, and PowerPoint with ability to learn new systems. Excellent communication and interpersonal skills with a customer-service focus working with all levels of the organization. Excellent planning, organizational, detail orientation, and time management skills.

Conducts reviews with others to identify opportunities to simplify process, reduce cost, delivery time, and to increase quality.

4) Planning and Organizing: Systematically plans a course of action for self and others to ensure the accomplishment of specific objectives. Prioritizes tasks to meet goals and objectives. Selects the right activities from a range of competing priorities. Systematically follows up on specific action items and communications. Establishes and updates work priorities based on evolving demands.

5) Flexibility/Adaptability: Demonstrates an ability to flexibly adapt to changing work demands. Embraces change as an opportunity, not a problem. Tolerates ambiguity and stress. Works cooperatively and capably with a wide variety of people. Shifts focus smoothly and quickly among activities.

Additional Description

Education and Work Experience:

  • High School Diploma or Equivalent
  • 5+ years of relevant administrative experience
