Position Summary
Reporting to the Executive Director of Alumni Relations, this position provides high level administrative support for the Executive Director of Alumni Relations and the Senior Directors of Alumni Relations.
As the lead administrative support to the Executive Director, the incumbent schedules, organizes, and coordinates meetings, handles confidential correspondence, and significant support functions such as managing travel arrangements and expense reimbursements for the alumni relations team. This position provides meeting and event support to the Office of Alumni Relations. This position assists the Executive Director in preparing budget proposals and assists in budget tracking, ordering, invoice payments, and reimbursements for the team.
This position interacts with various groups of important external callers and visitors as well as internal contacts at all levels of the organization. Independent judgment is required to plan, prioritize, and organize a diversified workload and recommend changes in office practices or procedures. This position is essential to the mission of the department in providing excellent customer service to constituents and maintaining a highly organized alumni relations operation.

Monitors budget including tracking expenditures and providing reports. Assists Executive Director in preparation of budget proposals. Prepare spreadsheets for budgets or contracts, to include tracking and maintaining expenditures and reconciling accounts. Prepares financial reports and leads the Administrative Associates/Operations team in developing processes on behalf of the Executive Director.

Provide high level administrative support to the Executive Director of the Office of Alumni Relations and the Senior Directors of Alumni Relations along with providing administrative support to the Office of Alumni Relations.
- Administrative support to Executive Director and Senior Directors includes but is not limited to:
- Manage complex calendars: Schedule meetings, alumni functions, appointments, conference attendance and travel. Assist in calendar scheduling for other staff members as assigned.
- Coordinate travel arrangements for Alumni Relations Team.
- Prepare and submit travel and expense reimbursement requests and forms for Alumni Relations Team.
- Develop and maintain general files of the department.
- Assist in maintaining confidential personnel records.
- Assist Executive Director and Senior Directors in managing tasks to meet goals and deadlines.
- Implement, interpret, and communicate policies and procedures.
- Review, assess, route, answer and monitor follow up action steps on correspondence.
- Gather and analyze information required for administrative reporting.
- Administrative support to the Office of Alumni Relations includes but is not limited to:
- A wide range of complex office administration including word processing, spreadsheet development, mail merge documents, composing and editing letters, memoranda, newsletters, reports, presentations, and other clerical duties as assigned.
- Consolidate staff meeting agenda items, prepare bi-weekly staff meeting agendas.
- Answer telephones, greet guests, receive deliveries, distribute incoming mail, and prepare outgoing mail.
- Order and maintain office supplies.
- Assist staff as needed with messages, copies, ordering supplies, and shipping.
- Prepare and distribute communication documents including memos, letters, and presentations as needed. Format correspondence according to the office style guide, including fonts and logos for all internal and external communication documents.
- Oversee the alumni@uga.edu accounts for event registrations and general questions.
- Record all personal constituent interactions in Giving and Alumni Information Link (GAIL) CRM system.
- Assist with special projects as assigned.
- Attends monthly DAR Admin Meetings and reports out to Alumni Relations team any changes or updates.
- Attends monthly Alumni Relations Budget Meetings.
- Responsible for PCard reimbursements and purchases.
- On occasion, drive the department's van or SUV to provide transportation or transport supplies or packages.
