Job Description

Summary:

The Document Control Specialist will store, manage, and maintain company documents, while ensuring the accuracy and quality of them. This job includes tasks such as processing documents for revision and approval and organizing documents from conception to distribution and filing.

Key Duties and Responsibilities:

  • Scan, image, organize and maintain documents, adhering to the company's document lifecycle procedures, and they archive inactive records in accordance with the records retention schedule.
  • Responsible for training employees on records management procedures and policies, which include documentation, retention, and retrieval.
  • Manage the day-to-day use of the electronic quality management system document control module.
  • Respond to requests for information in a timely manner
  • Ability to prioritize tasks.
  • Other duties as assigned.
Qualifications, Education, and/or Experience Required:
  • High School diploma or GED required.
  • Strong communications skills, both written and verbal.
  • Computer skills (specifically MS Word, MS Excel, and SharePoint).
  • Experience with electronic Quality Management systems preferred.
  • Detail Oriented - assess the accuracy of documents, and be able to spot problems and errors, and resolve any queries with the appropriate department.
  • Organizational Skills - This job requires high levels of organization, as documents need to be filed in a way that makes it easy for them to be found later. Effective planning and file management is vital to this role.
Language Skills:
  • English required; Spanish is a plus.
  • Reasonable accommodations can be made, up to and including translation services.
Physical Demands:
  • Position requires walking, standing for prolonged periods, occasionally required to sit, climb, or balance, stoop, kneel, crouch or crawl. May frequently lift and/or move up to 10 pounds and occasionally lift and/or move up to 15 pounds.
Work Environment:
  • Non-temperature-controlled warehouse, non-temperature-controlled production floor, temperature-controlled office.
