Office Manager

CertaPro Painters of League City and Galveston has been serving residential and commercial customers for eleven years. We are a professional business specializing in repainting homes and commercial buildings; both interiors and exteriors. The Office Manager is an essential member of the CertaPro Team, operating as a hub between sales and production for our customers.

Position Overview:

Primary responsibility is managing the daily, weekly, and monthly financial transactions necessary to run a successful business using the QuickBooks Online platform.

Provide exceptional technology support for all team members and business functions, including production, sales, marketing, and HR.

Responsibilities: Quick Books Online using Project feature:

Import new jobs

Prepare and send customer invoices

Import bills using HubDocs

Job costing

Process customer payments

Pay sub-contractors weekly

Pay monthly bills including sales tax

Production, Sales, Marketing, & HR Support:

Customer service-related activities - prospective, current, & previous customers

Email, text, & phone follow up support & thank you notes

Collaborate to maintain production calendar and subcontractor communication through TEAMS

Manage and maintain subcontractor files

Physical office maintenance including office supplies, point-of-sale materials, branded goods, and inventory needs

Provide marketing assistance for specific projects

Assist and participate in business events

Participate in regional or national on-going monthly training calls, conferences/meetings

Qualifications/Certifications:

Extensive experience and knowledge using Microsoft Office 365 (Outlook, TEAMS, Excel and Word)

QuickBooks Online experience required

High school diploma

College degree a plus

Digital marketing skills a plus

Excellent verbal and written communication skills, English/Spanish a plus

Excellent organizational and time management skills

Accurate and detailed oriented

Five years of Office Management experience (preferred)
