Job Title: Administrative Assistant/Receptionist

Location: Cambridge, Aesthetic Clinic

Position Type: Full-Time

Our client are a leading aesthetic and laser clinic based in the heart of Cambridge, dedicated to providing clients with the highest quality of care and a wide range of cosmetic and laser treatments. The state-of-the-art clinic offers a professional yet welcoming environment, ensuring clients feel valued and respected. They are now seeking an enthusiastic and reliable Administrative Assistant/Receptionist to join the team.

Key Responsibilities:

  1. Reception Duties:
  • Greet and welcome clients with a friendly and professional demeanor.
  • Answer incoming phone calls, handle inquiries, and redirect calls as necessary.
  • Manage and respond to emails in a timely manner.
  1. Appointment Management:
  • Schedule and confirm appointments using our booking system.
  • Coordinate appointment changes and cancellations efficiently.
  • Ensure the appointment calendar is up-to-date and well-organized.
  1. Database Maintenance:
  • Maintain accurate and current client records in our database.
  • Update client information and treatment history as required.
  • Ensure data protection and confidentiality at all times.
  1. Front of House Management:
  • Take responsibility for the appearance and tidiness of the reception area.
  • Ensure promotional materials and product displays are well-presented.
  • Manage stock levels of front of house materials and place orders as needed.
  1. Client Experience:
  • Provide exceptional customer service and support to all clients.
  • Assist clients with pre-treatment and post-treatment instructions.
  • Handle client feedback and complaints professionally, seeking to resolve issues promptly.

Requirements:

  • Previous experience in a similar role, preferably within the healthcare or beauty industry.
  • Excellent interpersonal and communication skills.
  • Strong organizational and multitasking abilities.
  • Proficiency in Microsoft Office and experience with booking systems.
  • A professional appearance and demeanor.
  • Ability to work independently and as part of a team.
  • High level of discretion and confidentiality.
