Sales Support Administrator – Pencoed

Salary: £25,000 - £30,000 P/A

Job Type: Permanent, Full-time

Working hours: Monday – Friday

We are seeking an experienced Sales Support Administratorto join a well-established company based in Pencoed.

The Role:

As Sales Support Administrator, your primary role is to provide dedicated administrative and operational support to the sales team, ensuring they can focus on achieving sales objectives. You will assist in managing sales documentation, coordinating customer enquiries, and maintaining accurate records. A key aspect of this role includes supporting the Sales Manager by helping prioritise tasks, streamline communications, and ensure effective follow-up on key activities. Your contributions will enhance customer satisfaction, streamline sales processes, and drive overall team success.

Main Duties:

Sales Administration and Coordination:

  • Prepare and process quotations, proposals, and other sales-related documents with accuracy and efficiency.
  • Support the sales team in managing customer accounts by maintaining up-to-date CRM records and ensuring seamless follow-up on leads and opportunities.
  • Assist in scheduling and preparing for customer meetings, including managing agendas, collating presentation materials, and recording meeting minutes.
  • Coordinate and track orders, ensuring accurate processing, timely dispatch, and communication of order status to customers and sales representatives.
  • Generate and distribute regular sales performance reports to the Sales Manager and wider team, highlighting key metrics and trends.

Support for the Sales Manager:

  • Provide day-to-day support to the Sales Manager by helping prioritise activities, ensuring smooth coordination of tasks, and facilitating timely follow-up on communications and deadlines.
  • Assist in drafting correspondence, organising schedules, and preparing documents for meetings or presentations.
  • Help streamline communication channels, ensuring important matters are addressed promptly and efficiently.

Customer Engagement and Support:

  • Serve as the first point of contact for customer enquiries, ensuring prompt responses and excellent customer service.
  • Proactively manage and resolve customer queries related to orders, deliveries, and sales-related issues, escalating complex problems when necessary.
  • Build and maintain positive relationships with customers to enhance satisfaction and loyalty.

Office and Operational Support:

  • Assist with shipment coordination, working closely with the logistics and after-sales departments to ensure delivery timelines are met.
  • Provide administrative support for sales campaigns, including data entry, market research, and coordination of promotional materials.
  • Manage travel and accommodation arrangements for the sales team, ensuring cost-effective and well-organised itineraries.
  • Collaborate with other departments to improve administrative processes and facilitate efficient communication.

Data Management and Reporting:

  • Accurately update and maintain the CRM system, ensuring all customer and sales data is current and comprehensive.
  • Track and analyse sales data, providing insights and recommendations to support decision-making.
  • Prepare reports on sales performance, customer activity, and operational efficiency for management review.

Event and Meeting Support:

  • Assist in organising sales events, client meetings, and conferences, ensuring all logistics are managed professionally.
  • Support the coordination of internal team meetings, ensuring agendas are prepared and outcomes are documented and shared.

Qualifications

  • Experience: Previous experience in a sales support, administrative, or customer service role.
  • Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint). Experience with CRM systems is advantageous.
  • Communication: Excellent verbal and written communication skills for professional interaction with customers and colleagues.
  • Organisation: Strong organisational skills with the ability to prioritise tasks, meet deadlines, and manage multiple projects.
  • Detail-Oriented: High attention to detail in managing documentation, reports, and data entry.
  • Problem-Solving: Ability to identify and resolve issues efficiently, with a proactive approach.
