Job Description
Description: The Administrative Coordinator is responsible for day-to-day administrative and clerical duties. The Administrative Coordinator provides support to the Leadership Group and Human Resources Department for various administrative tasks, including but not limited to coordinating meetings, email notifications, and employee travel. The Administrative Coordinator is a self-starter who is comfortable working independently and is able to handle multiple tasks and assignments simultaneously.
Location: Full-time, on-site presence at the Amherst, New York office
Major duties and responsibilities:
Reports to: Director of Human Resources
Controls over position:The Administrative Coordinator will be assigned projects by the Director of Human Resources, as well as other organization leadership members, for administrative related matters.
Required qualifications:
Travel: This position will be based in the Amherst, New York office. This role may on occasion be asked to travel to the organization's other office locations in Boston, Massachusetts and Madison, Wisconsin.

Major duties and responsibilities:
- Manages day-to-day office operations
- Serves as a liaison with landlord and cleaning service
- Assists with scheduling meetings and organizing employee travel arrangements
- Answers and routes Frontier Science phone calls, coordinates postage, and distributes mail
- Welcomes and assists visitors, and follows applicable visitor policies
- Assists with special projects and coordinates organization events
- Coordinates onsite pickup and shipping of employee equipment
- Emails notifications and enters system tickets for new employees, department transfers, and separations.Assists with the new employee recruitment process, schedules interviews, and completes employment verification
- Maintains office and project supply inventory
- Provides administrative support for research projects as needed
- Prepares letters, notices, and flyers
- Works with office related vendors to coordinate purchases and services, purchases and maintains office, kitchen, and project supplies
- Provides administrative support for offices in Massachusetts and Wisconsin as needed

Required qualifications:
- Associate's Degree in Business Administration preferred, plus three years of administrative experience or five years of office management experience
- Detail oriented and ability to take initiative and work independently
- Proficient in Microsoft (MS) Office Suite
- Strong organizational and time management skills
- Excellent and professional communication skills, both written and verbal.
