Actions may involve complex pickups and deliveries, e.g., night deliveries, international travel, transport of dangerous and hazardous products. Provides guidance to others with less experience.
Schedule 9 AM-6 PM; ALTERNATING SATURDAYS; RARE HOLS Responsibilities General Purpose: Maintains responsibility for all aspects of the Courier Services department division which handles the secure delivery materials to the University community. The Courier Services Supervisor has authority over direct reports, full time staff, Union Couriers (Truck Drivers), student and temporary employees. He/she is responsible for the hiring, training, evaluation, discipline, and termination of the division's employees. The Courier Services Supervisor is part of the Mail Services management team and is involved in assisting the manager in maintaining and cultivating the overall operation. The Courier Services Supervisor is required to possess expertise with routing software, delivery and GPS tracking applications. They must also be familiar with the management of a vehicle fleet that includes Cargo Vans, 26,000lb (CDL B required) Straight Truck with lift gate, and other basic vehicles used for daily deliveries. Functionally managing thousands of deliveries for multiple departments with varying levels of value exceeding $600,000 daily of pharmaceuticals, equipment, cash bags, supplies, mail, etc. Ability to orchestrate multiple delivery points and plan for staffing, vehicle, and equipment needs suited for the university community. Courier Services has increased service and value significantly, generating volumes growth10% month over month with added services expected to continue. The Courier Services Supervisor has high levels of customer interaction and must demonstrate efficient communication skills. He/she is expected to work within a team framework and effectively be its leader; share and communicate information to staff whose work they oversee, peers, and higher management; and be able to use independent judgment and effectively problem solve. The Courier Services Supervisor is expected to prioritize tasks, direct staff, and advise the manager regarding the department's goals, vision, and direction. Job Description/Task List - Essential Duties: Leadership - Interview and hire for vacant positions. Instruct all staff regarding policies and procedures, department standards, and how to use assigned equipment. Assign tasks and directs front line staff including temporary workers; prioritize work and oversee its completion. Provide annual Performance Evaluations; administer progressive discipline up to and including termination, and maintain all relevant records. - 15% - Develop short- and long-term goals for staff. Plan long and short-range work assignments, monitors and directs work performance within the area. Responsible for quality control inspections to ensure standard daily and project work is on task and up to department standards. Redirects efforts when necessary. - 15% - Participate in management meetings both departmental and divisional to share recommendations, updates, and current status; assume responsibility for the department in the absence of the manager. Keep abreast of industry trends including best practices and technology advances. - 10% - Problem solve and coach/mentor staff; determine and implement appropriate actions when necessary; investigate errors and recommend solutions. Review operational data and make recommendations with potential solutions improvements and efficiencies. - 10% - Answer detailed questions about Courier Services' deliveries; inform customers of the status of their deliveries. Maintain all relevant records according to University guidelines; prioritize deliveries to ensure efficient delivery of time sensitive products. - 10% Asset / Safety Management - Ensure assigned staff are trained on all departmental tools and resources, properly and safely. Keeps up to date on regulations, reviews all discrepancies/deficiencies, works to determine the cause, and develop solutions. Regularly inspect assigned vehicles and equipment for determining current conditions and repair priorities. Establish replacement cost and priority for correction. Maintain safe and secure environment in accordance with University and department guidelines. Assess and communicate safety goals and initiatives to insure all employees are safely performing all functions and meeting all training requirements. Processes - Review industry standards and best practices, recommend and implement new procedures designed to increase productivity and maximize customer satisfaction. Required to write and review departmental procedures as needed. Supervises on a regular basis all activity reports/logs pertaining to the courier operations Oversee proper delivery and receipt of University related mail; materials; confidential correspondence; pharmaceuticals; and cashier bags. Implements continuous improvement and workflow design for various routes and services for customers. Manage and track deliveries, billing forecasts, fleet performance to aid in efficient fulfillment and delivery activities. Works in coordination with Manages for DMV checks on internal staff and reports concerns to Field Managers for recommendation. Customer Interaction - Answer detailed questions regarding courier processes and availability for customers; clarify customer's expectations; inform internal/external customers of courier processes and guidelines. Handles and follows up on customer concerns appropriately. Must be knowledgeable of primary customer base including Senior Administration and Management. Maintaining Records / Area Maintenance - Implement Quality Controls to ensure all University regulations, department standards and customer expectations are met. Prepare, review and present area Metrics for management team in accordance with departmental format; review daily variance reports; prepare special projects/reports for the Manager as assigned. - Ensure that the workspace is clean, organized and safe. All resources are maintained and used as intended. - Reassignment to any task that meets the needs of the University, department, or customers as required.
