WARDROBE.NYC represents practical urban minimalism — crafted with the finest Italian textiles and made in Europe. “Our experience in the industry has led us to think about a better and more egalitarian way to practice the elements of design and communication that we love, and at the same time, improve the business model so that it's more efficient and less wasteful.” Job Summary: The Wholesale Assistant will play a key role in supporting the sales team in executing sales campaigns, organizing showroom appointments, and assisting with overall sales administration. This position requires excellent organizational skills, strong communication abilities, and an understanding of the fashion industry. The ideal candidate will contribute to creating an outstanding customer experience, ensuring efficient order management, and supporting internal teams to meet business objectives. Key Responsibilities: 1. Support Organization of Sales Campaigns & Showrooms: Customer Invitations: Prepare and send invitations to wholesale customers for showroom appointments, sales campaigns, and events. B2B Platform Management: Set up and manage wholesale accounts on B2B platforms such as Nuorder and Joor to facilitate the ordering process. Selling Tools Preparation: Prepare selling tools, such as iPads, for the sales team to use during showroom appointments. 2. Showroom Sales: Customer Reception: Welcome customers to the showroom and lead them through product presentations and showroom appointments. Appointment Follow-up: Follow up with customers post-appointment to ensure orders are placed before the deadline Order Processing: Check and monitor orders, ensuring monitor the assortment align with brand guidelines, insert orders in the internal system Order Confirmation: Send order confirmation to customers, providing them with order details an 3. Sales Administration: Customer Inquiries: Respond to wholesale customer inquiries, providing product information, order updates, and resolving any issues promptly. Order Tracking: Maintain accurate records of orders, sales, customer communications, and shipping documents within the internal system. Reorders & Exchanges: Manage requests for reorders, swaps, and product exchanges, ensuring smooth processing. Claims Follow-up: Handle and track claims and returns, coordinating with relevant teams to resolve issues efficiently. Stock Availability: Track stock levels in coordination with the Logistics team to ensure availability for wholesale orders. Delivery Coordination: Collect purchase orders (POs), check shipping reports, and follow up with customers to unlock deliveries or confirm order details. Stock Reservations: Assist with seasonal rolls, stock reservations, and ensure products are reserved appropriately for wholesale orders. Payment: Assist in sending payment requests to customers, actively chasing outstanding payments and ensuring smooth financial processes. Product Information: Send product libraries, recommended retail prices (RRPs), and markdown calendars to customers. Requirements: Experience: At least 1-2 years of experience in wholesale administration is preferred. Skills & Abilities: Product Sensitivity: Strong understanding of fashion products and trends. Customer Service: Proactive, customer-centric approach, with excellent communication skills. Analytical Skills: Ability to work with data, track stock levels, and identify trends. Language Proficiency: Fluent in English and French (additional languages highly appreciated). Tech Skills: Proficient in Microsoft Office Suite ; experience with B2B platforms like Nuorder and Joor is a plus. Personal Traits: Positive, Proactive, can-do attitude, self-motivated, and efficient team player. Excellent organizational, communication, and project management skills.
