We are seeking an Operations Coordinator to join our Production team. You will be supporting Senior Production staff with the internal management of departmental databases and process documents, vendor coordination, venue research, as well as project-based production support as needed. Additionally, this role will positively contribute to making Invisible North’s culture an envy of the industry, a studio that turns out jaw dropping creative and design and does so by upholding an inclusive, flexible and giving work environment. While our main office is located in DUMBO Brooklyn, we work as a distributed team with members reaching from Maine to LA, and everywhere in between. For this role, we do require that 1 - 2 days a week of your time be spent collaborating with the team in-person in our Brooklyn office. This entry-level position is contracted on an initial three-month freelance basis with the opportunity to become full-time. Full-time salary will range from $65-70K commensurate with experience, and may vary depending on the candidate’s experience. Roles Responsibilities Report to the Head of Production and Associate Director of Production, as well as the Senior Staff when needed Resourcing Work with HR & Talent Manager to evaluate production candidates, support onboarding, track invoices and contracts, and keep updated records Support freelance teams with Wrapbook Submit and track production NDAs Operations Maintain Invisible North’s project management & communication tools: ensure Airtable is updated with the latest vendor, venue, and freelance information, organize Google Drive production folders, upkeep of departmental documents, etc Conduct vendor and venue research; schedule capability calls and walkthroughs Manage NYC production storage and track all items checked out/returned; support with the production kit maintenance, shipment, and returns Manage misc department purchases Manage Notion Manage all department travel internal team meetings Support Production Dept leadership with legal and finance teams in order to make sure productions are within legal guardrails, finance policies, and budget management Project- based Support with internal departmental events such as the Summer and Holiday parties, and quarterly summits Support project-based client work as needed, including venue and vendor research, onsite support, expense tracking Skills Qualifications 1-3 years of industry experience including internships Ability to successfully work remotely during EST hours or from our DUMBO office, with preference for New York-based candidates Passion for travel, lifestyle, theater, art, music, technology, and pop culture Love for operations, planning, and organization Prioritize collaboration and cross-functional teamwork Be organized, creative, outgoing, solutions-oriented, and have a great work ethic and attitude Work well in a fast-paced environment Ability to find ways to be flexible in order to execute programs alongside a team Ability to successfully multitask, and provide strong support and initiative on assigned projects Able to travel to project locations and the IN Office as needed Availability to work occasional weekends and evenings as needed for specific projects (and to be made up with compensatory time off) Compensation Salary: $65 -70k annually This is not a guarantee of compensation or salary, the final offer amount may vary based on factors including but not limited to experience and geographic location.
