Job Description

Requirements: Grade 12 Warehouse / Logistics / Supply Chain or related qualification Familiarity with safety regulations and certifications for operating heavy equipment Proficiency with warehouse procedures and policies Minimum 5 years of experience in a warehouse role Warehouse / Logistics / Supply Chain or related qualification Staff management skills Responsibilities: Stock Security, Housekeeping and Safety Ensure the prevention of stock shrinkage via the ongoing adherence to policies and procedures and security measures. Ensure that access to the Warehouse is stringently controlled at all times in order to prevent shrinkage. Ensure that Health and Safety and housekeeping standards are maintained and observed by all Ensure adherence to the companys safety and other security standards and the safety requirements for all machinery/equipment/ vehicles in order to comply with the standards laid down by Management and the OSHACT. Ensure that any accidents are reported promptly in accordance with the procedures laid down and to assist with accident/incident investigations as and when required. Ensure that staff wear the appropriate protective clothing and equipment in the warehouse and factory areas. Customer Service Ensure that deliveries are made on time in order to meet customer requirements. Ensure that picking is completed accurately in order to maintain high levels of delivery correctness. Ensure that order packing is completed in accordance with the standards laid down in order to prevent product damages/returns. Ensure the timeous processing of all customer returns so that credits can be passed/ repairs can be completed promptly. Follow-up on all customer complaints relating to delivery shortages/inaccuracies/damaged stock, etc. timeously in order to maintain good customer relations. Inventory Management Manage minimum and maximum stock levels and to ensure the correct stock levels of fast-moving items. Ensure the Rand value of the stock in the Warehouse remains within acceptable parameters at all times. Ensure that the stock replenishment process results in the required stock levels of both critical stock and other stock. Ensure that daily/monthly cycle counts are completed timeously in accordance with the procedures laid down, and that any stock discrepancies are vigorously investigated. Analyze productivity and develop actionable plans for loss prevention To ensure that stock issuing and stock receiving procedures are adhered to at all times. Monitor and report monthly on stock redundancy and slow moving stock. Monitor the stock levels of imported stock and place replenishment orders as necessary in accordance with the agreed procedures. Monitor inter-branch transfer stock and place orders for same in accordance with the agreed procedures. Ensure the on-going maintenance and updating of the warehouse computer system in accordance with the agreed procedures/standards. Manage and facilitate all stock counts Administration, Accounts, Liaison and Reporting Responsible for the drawing up of the annual budget for the Department within the agreed parameters. Monitor performance of the department against budget and to institute corrective action promptly in the event of unacceptable variances. Initiate requests for general and capital expenditure within the agreed parameters and forward same to Manager for authorisation/approval. Attend meetings as required and authorised and to execute any decisions made at such meetings or on the instruction of the Senior Manager. Complete all project work timeously as per the project plan and within the budget parameters agreed. Staff Management To ensure that absenteeism, labour turnover, late-coming, overtime and the employment of casuals remain within acceptable limits at all times. To ensure the achievement of Departments objectives via appropriate planning, organisation and control mechanisms. Manage the effectiveness and high morale of all subordinates via the implementation of an appropriate Performance Management and Appraisal system. Ensure that the Companys Disciplinary and Grievance Procedures are adhered to and that sound labour relations are maintained at all times. Solve problems and make decisions timeously. Ensure the growth and development of subordinates via appropriate planned training interventions on an ongoing basis. Demonstrate appropriate Leadership skills aimed at enhancing the performance of subordinates. Fleet Management Ensure the optimization of delivery scheduling in order to meet customer demand. Ensure that delivery vehicle checklists are completed and actioned daily in accordance with the agreed procedures. Monitor and ensure the maintenance of the company delivery fleet in accordance with the standards laid down. Ensure the delivery vehicle maintenance costs remain within the agreed parameters at all times. Monitor the delivery vehicle tracking system and to take prompt action in the event of any out-of-line situations. Ensure the correct utilization of vehicles in the fleet for the various delivery volumes. Ensure that the delivery fleet is kept in a clean and neat condition at all times. Ensure the timeous replacement of delivery vehicles via planned capital expenditure as and when necessary. Source the most cost-effective sub-contractors on an ongoing basis. Ensure that all sub-contractors use the most cost-effective delivery methods via the vigorous monitoring of their costs. Monitor total distribution costs on an ongoing basis and to ensure that they remain within the agreed parameters. All other related tasks and responsibilities Other Operations Generate and allocate route sheets to distribution personnel Manage the dispatching drivers to routes Ensure that invoices have been checked and verified Manage the unloading of goods and final checking against order forms. Plan of warehouse floor and stacking/storing of goods Co-ordinate the goods to be delivered. Please note only shortlisted candidates will be contacted.
