As part of our continued growth, we are seeking a detail-oriented Imports Specialist to join our team in Madrid, Spain. Position Overview: The Imports Specialist is a key member of our Purchasing and Imports team, supporting daily, weekly, and monthly import operations. This role involves working closely with suppliers, freight forwarders, customs brokers, and internal stakeholders to ensure a smooth and compliant import process. Over time, the successful candidate will have the opportunity to expand their expertise into other areas, including Purchasing, Imports Buying, and Transportation/Logistics . This is an ideal role for a candidate with food importing experience, a strong understanding of global supply chains, and excellent organizational skills. Key Responsibilities: 1. Import Coordination & Vendor Management Assist the Senior Imports Manager with freight coordination, customs clearance, and supplier communication. Work directly with vendors to develop and maintain strong working relationships . Track and manage shipments, ensuring on-time delivery and compliance with customs regulations. Gather multiple freight quotes (2-3 per container) to assess cost-effective options. Maintain and update the Imports Schedule , verifying quantities, shipment dates, and purchase order accuracy. 2. Special Orders & Research & Development (R&D) Management Oversee Special Order requests , ensuring they are properly routed to the appropriate buyers. Maintain a log of ongoing special orders and new product developments . Serve as a backup for Purchasing Management in new item vetting and sourcing. Provide weekly R&D updates to the Sales team , ensuring transparency on new product availability. 3. Transportation & Logistics Support (As Time Permits) Track and coordinate backhauls across the buying team. Obtain freight quotes from carriers , selecting the best option based on timing and cost. Work with Warehousing to manage inbound receiving schedules , identifying peak and overflow days. 4. Inventory & Pricing Management Review daily and weekly reports for potential stock shortages and propose alternative solutions. Monitor slow-moving inventory and communicate with Sales for targeted push campaigns. Assist in PO reviews and demand planning , ensuring proper alignment between purchasing and inventory needs. Experience & Skills Required: 2 years of formal experience in food purchasing, food importing, or supply chain management. Strong knowledge of EU and Spanish customs regulations, tariffs, and import documentation. Experience in food distribution preferred , with an understanding of perishable and specialty products. Proficiency in Microsoft Office Suite (Excel, Outlook, Teams) and ERP/WMS systems (e.g., S2K, BFC Dakota). Excellent communication skills (verbal and written) in English and Spanish (additional languages are a plus). Strong organizational and multitasking abilities, with a proactive and detail-oriented approach . Ability to work independently and as part of a team , collaborating with purchasing, sales, and logistics.
