This role involves managing travel, logistics, and vendor coordination to support our field technicians and ensure the smooth execution of projects. The ideal candidate will possess excellent multitasking abilities, strong communication skills, and the capacity to adapt to changing project needs. Key Roles: Coordinate travel and accommodations for field technicians. Manage vendor relationships and equipment rentals. Maintaining vendor credentialing accounts. Ensure technicians safety certifications are current. Support project teams by ensuring all logistical needs are met efficiently. Maintain accurate and up-to-date records in project management software. Key Responsibilities: Travel Coordination: Book and manage airline tickets, car rentals, and accommodations. Communicate travel details to technicians and handle any changes or cancellations. Ensure smooth travel arrangements, including addressing any issues that arise during travel. Vendor and Equipment Management: Arrange for dumpsters, recycling barrels, and lifts to be delivered and picked up at project sites. Coordinate with vendors to ensure timely delivery and accurate invoicing. Maintain and update vendor portals, ensuring all documentation is current. Temporary Staffing Support: Plan and manage temporary staffing needs according to project requirements. Communicate with temp agencies to resolve any issues, such as no-shows or quality concerns. Project Documentation: Keep project management software (e.g., Wrike) updated with all logistics and travel details. Maintain accurate records of all project-related activities, ensuring transparency and accessibility for the project team. Desired Skills and Qualifications: Organizational Skills: Exceptional ability to manage multiple tasks and priorities simultaneously. Communication: Strong verbal and written communication skills to interact effectively with technicians, vendors, and project managers. Problem-Solving: Ability to think quickly and resolve issues efficiently, especially when dealing with last-minute changes or challenges. Attention to Detail: Meticulous attention to detail in coordinating logistics and maintaining records. Technical Proficiency: Experience with project management software (e.g., Wrike) and standard office software (e.g., Microsoft Office Suite). Experience: Previous experience in travel coordination, logistics management, or project support is preferred but not required.
